Receptionist and Trust Assistant

Position Summary:

We are seeking a proactive and detail-oriented Trust Assistant to provide administrative support to the Royalty Trust Services division of Argent Trust Company. The ideal candidate will be comfortable handling a high volume of phone calls, assisting unitholders with inquiries, and performing various office tasks as directed. Proficiency in using the office suite of products is essential for success in this role. This position reports directly to the Director of Royalty Trust Services and Senior Vice President of Royalty Trust Services.

Responsibilities:

  • Answer and direct phone calls in a professional manner
  • Assist unitholders with inquiries and provide exceptional customer service
  • Perform administrative tasks such as filing, scanning, and data entry
  • Prepare and distribute correspondence, reports, and presentations
  • Maintain client records and ensure accuracy and confidentiality
  • Collaborate with team members to ensure efficient operation of the Royalty Trust Services division
  • Handle special projects and tasks as assigned by management

Requirements:

  • High school diploma or equivalent; associate’s degree or bachelor’s degree preferred
  • Previous experience in a similar administrative role is advantageous, specifically customer service or client-facing experience
  • Excellent communication and interpersonal skills
  • Strong organizational skills with the ability to multitask and prioritize workload
  • Proficiency in using the office suite of products (Microsoft Word, Excel, Outlook, etc.
  • Familiarity with FIS AddVantage software is a plus
  • Ability to maintain confidentiality and handle sensitive information with discretion
  • Detail-oriented with a high level of accuracy in work
  • A positive and collaborative work environment with supportive team members

Additional Duties & Responsibilities:

Performs any and all other duties assigned by the Director of Royalty Trust Services and Senior Vice President of Royalty Trust Services for which the employee is qualified and physically able to perform with or without reasonable accommodations.

Language Skills:

Ability to effectively present information and respond to questions from managers, customers, and the general public.

Mathematical Skills:

Ability to add, subtract, multiply and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent.

Reasoning Ability:

Ability to define problems, collect data, establish facts, and draw valid conclusions. Ability to deal with a variety of abstract and practical problems.

Other Skills & Abilities:

Excellent interpersonal, verbal, writing, and analytical skills; ability to work well with others and assist others in working through problems rationally and objectively.
